What will you do as an Office Manager at our IES Communications' Portland Branch?
Office Manager: In our Portland branch, the Office Manager is responsible for analyzing and researching various files, spreadsheets, flow logs, reports, and tracking material. They will establish and maintain job books/files and develop reports for manufacturer's rebates and certifications. Additionally, the Office Manager will review and authorize the ordering of office supplies, equipment, and furniture, as well as assign company property and materials. They will evaluate time sheets, expense and mileage reports for reimbursement, make travel arrangements, oversee the branch petty cash/checkbook, and reconcile the business travel account. The Office Manager will also coordinate sales meetings and training, calculate sales quotas and incentives, prepare sales reports, supervise the receptionist, and handle customer sales calls when necessary.
Office Support Manager: Also in our Portland branch, the Office Support Manager will analyze and research files, spreadsheets, flow logs, reports, and tracking material. They will establish and maintain job books/files and manage the division support staff. The Office Support Manager will drive a proactive approach and reporting related to billing, procurement, job openings/contracts, and document control. They will also be responsible for division process analysis and improvement, as well as division process flow development. The Office Support Manager will rely on experience and judgment to plan and accomplish goals through creativity and flexibility, and will also have other responsibilities as assigned.
